HR Database

Hello
We are considering buying a HR Database that would hold all our staff records in one place, and we would be interested to find out if anyone has any suggestions or ideas or the positive and negatives of moving over to this sort of system. All information is held on various spreadsheets so can become quite time consuming.
If anyone can make any recommendations, I'd be glad to receive them.

Equiniti ICS Ltd are providers of HR software as well as payroll software and services. We do a lot of work in the public and NFP sectors and have seen a growing trend for centralised HR databases. As you noted yourself, having core employee information in disparate sources, particulalrly spreadsheets makes accessing this information time consuming,
The benefit of a modern HR database is that it provides a single source for all employee data providing timely access to information. This in itself can improve the service that the HR function delivers to it's employees by speeding up the response times to employees queries. Security within the software allow users to be partitioned by function, (e.g. training, recruitment etc).
A central database with drop down lists for population can also improve the accuracy of HR information. It will also interface with other systems to allow information to be imported and exported as required.
Additionally most HR systems come with integrated reporting tools which allow users to quickly and easily interrogate the information held within. As I'm sure you will appreciate it can be difficult to get a global view of HR information when it isn't held within a central location. The abililty to report on HR information can enhance the value that the HR function can add to the organisation. This is achieved by pro-actively reporting on and monitoring trends such as absence and staff retention.
